Share Otter.ai meeting notes with attendees after a call

A customer call ends, Otter finishes the summary a few minutes later, and then someone has to open the conversation, click Share and type each attendee's email one at a time.

Cotlet does it in your own Otter.ai account with list_conversations, get_conversation and share_conversation, called by your AI agent, an n8n workflow or a script.

Hosted · nothing to install or maintain

Can Otter.ai do this on its own?

Otter has no way to share a conversation from code (checked 16 Oct 2026). The public API, Enterprise only, lists shared_emails and shared_channels on a conversation but has no endpoint to change them, and the official MCP server has three read-only tools. The native option is auto-share through calendar event recordings, which covers invited calendar guests and is configured by each user separately.

How you do it in Otter.ai today

  1. Open the conversation in Otter once it has finished processing and click Share in the upper corner.
  2. Enter each person's email or pick a Channel, then choose the permission: Collaborator or Viewer.
  3. For a link instead, choose who can open it: anyone in your workspace, anyone with the link (Viewer by default) or restricted to the people and Channels it is shared with.
  4. Otter can also share automatically through your calendar event recordings, set per person under Account Settings > Meetings; a workspace admin cannot set it for members.
  5. To take access back, open Share again, click the drop-down next to the person or Channel and select Remove.

How to share Otter.ai meeting notes with attendees after a call

Prompt

After each customer call today, share the Otter conversation with the attendees as viewers and tell me who got access. Skip anyone who already has it.
  1. 01

    Find today's calls

Your agent pages through list_conversations, most recent first, and stops at the first conversation older than your window, so a busy day is read in full without scanning the whole history.

  2. 02

    Wait for the notes

get_conversation returns the summary, the sharing list and the processing status. A call whose summary is not ready yet is left for the next run, so attendees never get a link to an empty page.

  3. 03

    Work out who is missing

The attendees come from your prompt or from the meeting's calendar guests. Anyone already in the sharing list, as a person or through a Channel, is skipped, so a second run never re-sends an invitation.

  4. 04

    Pick the lowest permission

share_conversation defaults to Viewer. Only people you name as editors get Collaborator, because a Collaborator can edit Takeaways and, if the owner allows it, share the conversation further.

  5. 05

Check before sharing outside the team

An address from outside your company domain, or one on a common mail domain, is listed for you instead of shared. Each share asks for your OK by default.

What you get back

Example data

Calls today: 4 (3 with a finished summary)
Shared as Viewer:
- "Pricing review with Acme" with dana@example.com, lee@example.com
- "Onboarding kickoff" with the Customer Success channel
Already had access: sam@example.com (Acme call)
Left for you 1: "Vendor intro", attendee on a personal mail domain

Other ways to ask

  • Share every conversation tagged with the Customer Success channel from this week with the support lead as Collaborator.
  • Every Friday, share the week's internal standups with the whole team Channel as Viewer.
  • List who each of my last 10 conversations is shared with and flag anyone outside our domain, but do not change anything.
  • Stop sharing the "Pricing review with Acme" conversation with lee@example.com.

What Otter.ai allows, and what to know first

  • In Otter, a Collaborator can edit, view, play back and export the transcript, ask Otter Chat questions, and edit, add and view Takeaways; a Viewer can only view and play back.
  • A Viewer can export the conversation only if the owner turned on the Viewers can export setting, and the same setting applies to public links.
  • Anyone with a public link can see highlights and inline images, but not Takeaways, and signed-in visitors cannot interact with the conversation.
  • Sharing with a user costs nothing unless the workspace admin turned on Invite teammates to Workspace as free trial members when conversations are shared with them.
  • With that setting on, sharing with an address on the workspace domain sends a workspace invite, while common domains such as Gmail share normally with no invite.

share_conversation asks for your OK by default. To run it on a schedule without you, switch confirmation off for that tool in your dashboard.

Frequently asked questions

Will sharing add my colleagues to my paid workspace?

Only if your workspace admin turned on Invite teammates to Workspace as free trial members when conversations are shared with them. Otter then sends an invite to addresses on the workspace domain, and the person joins as a trial member after accepting. Without that setting, sharing has no charge.

Is it safe to connect Otter.ai to Cotlet?

Yes. You sign in to Otter.ai yourself, in your own Cloud Browser in the EU, and we never save your password. Your agents only get Otter.ai once you enable it, every background request is listed, and the browser profile is stored encrypted with AES-256-GCM, the cipher 1Password uses for its vaults. The AI model never sees a login, posts and messages wait for your OK, and Disable for agents cuts access in one click. Independent scanners grade cotlet.dev A+ on Qualys SSL Labs, securityheaders.com and Mozilla Observatory; live results are on https://cotlet.dev/security.
