Paperless Post automation · runs weekly

Send Paperless Post RSVP reminders to guests who have not replied

Two weeks before the party the caterer wants a number, and the Paperless Post Tracking page still shows a column of guests on Sent, Email opened and Page viewed. You open it every few days, add up the Attending counts and decide whether it is time for another nudge.

Cotlet does it in your own Paperless Post account with list_events, list_guests, get_guest, send_message and export_guest_list, called by your AI agent, an n8n workflow or a script.

Official options

Can Paperless Post do this on its own?

Paperless Post has no API for RSVPs or reminders (checked 12 Oct 2026). The website re-sends an unopened email invitation once, about 2 days after sending and only when the event has a date, and guests can opt in to a text reminder for themselves. Every reminder from the host is still picked and sent by hand in Messages & Reminders, and the headcount lives on the Tracking page or in its CSV export.

By hand

How you do it in Paperless Post today

  1. Hover over your name on paperlesspost.com, choose My Events, find the invitation under Recent Activity or Sent and Scheduled, and click the blue Manage button to open the Tracking page.
  2. Sort the guest list by status and count by hand who is Attending, who sent Regrets and who is still on Sent, Email/Text opened or Page viewed; for a couple or family you click the group to see each member's status in the panel on the right.
  3. Click Messages & Reminders, choose the Reminder to RSVP template, tick the statuses that should receive it, then edit the subject, sender name and text and send.
  4. Scroll the list again for guests marked Bounced, Undeliverable or Unsubscribed, because their invitation never arrived; each one needs Fix and Resend with a corrected email or number, or Copy personalized link to send from your own email or phone.
  5. Paperless Post does not email you when a guest replies, so the only way to know whether the reminder worked is to come back to the Tracking page and count again a few days later.

How to send Paperless Post RSVP reminders to guests who have not replied

Prompt

Every Monday until the RSVP deadline, check the Summer Gala in Paperless Post, give me the headcount, and send a Reminder to RSVP to everyone who has not answered and was not reminded in the last 5 days. List anyone who bounced or unsubscribed so I can reach them myself.
  1. 01

Pick the event and respect the deadline

The agent finds the invitation with list_events and reads the RSVP deadline you gave it. Once that date has passed it stops reminding, because Paperless Post closes the reply form and a late guest would only see that RSVP is closed.

  2. 02

Split the list into answered, waiting and unreachable

list_guests returns every row, and the agent sorts them into three buckets: Attending or Regrets, still waiting (Sent, Email/Text opened, Page viewed), and unreachable (Bounced, Undeliverable, Unsubscribed, Sending failed). It adds up total_attending from the Attending rows, so a family of four counts as four.

  3. 03

Skip guests who were just nudged

For each waiting guest the agent opens get_guest and looks at the message log. Anyone who received a broadcast inside your quiet period is left out of this round, so a guest never gets two reminders in the same week.

  4. 04

Send one reminder, after your OK

The agent drafts a short Reminder to RSVP text that names the deadline and calls send_message with only the waiting statuses. Paperless Post sends it to real inboxes and phones, so the call waits for your OK unless you switched confirmation off for scheduled runs.

  5. 05

Hand back what a broadcast cannot fix

Unreachable guests are listed by name with their status, because they need Fix and Resend or a personal link instead of another broadcast. When you want the numbers in your planning sheet, the agent adds the export_guest_list CSV link to the report.

What you get back

Example data

Summer Gala, Sat 17 Oct, RSVP by Fri 9 Oct
Attending: 28 replies, 61 people. Regrets: 9
Waiting: 14 (Sent 5, Email opened 6, Page viewed 3)
Reminder sent to 11; skipped 3 reminded on Wed 7 Oct
Unreachable: Tom Avery (Bounced), Priya Nair (Unsubscribed)
CSV for the caterer: summer-gala-guests.csv

Other ways to ask

  • How many people are coming to the baby shower so far? Just the number, no reminders.
  • Remind only guests who viewed the invitation page but did not answer, and keep the text under three sentences.
  • Three days before the RSVP deadline, send a last reminder to everyone still waiting and give me the CSV for the venue.
  • Every Friday, send me the Paperless Post headcount for all my sent events and flag any guest who bounced.

Before you automate it

What Paperless Post allows, and what to know first

  • Paperless Post re-sends an unopened email invitation only once per guest, after about 2 days, only when the event has a date, and never for text message invitations.
  • After the Paperless Post RSVP deadline set in Event Settings passes, guests who have not answered see a message that RSVP is closed and can no longer reply.
  • Guests invited through a Paperless Post Shareable Link appear on the Tracking page only after they RSVP, so a reminder run cannot find them beforehand.
  • Paperless Post does not email the host for each new RSVP; push notifications for replies exist only in the iOS app.
  • For a Paperless Post guest who bounced or unsubscribed, the host can enter a corrected email or number with Fix and Resend without buying another send.

send_message asks for your OK by default. To run it weekly without you, switch confirmation off for that tool in your dashboard.

Frequently asked questions

Can the agent remind guests who answered on someone else's behalf, like a family group?

A Paperless Post couple or family group replies together, and the host can also set each member's status and headcount by hand on the Tracking page. The agent treats a group with any reply as answered and reports members still marked as waiting, so you can fix them in the group panel.
