Tag Paperless Post guests and message each group

A wedding guest list is really several lists: out-of-town guests who need the hotel block, the wedding party who need the rehearsal time, the people on the shuttle. Each group needs a different message, and Paperless Post only knows them once every guest is tagged by hand.

Cotlet does it in your own Paperless Post account with list_guests, tag_guests, get_event, send_message and send_private_message, called by your AI agent, an n8n workflow or a script.

Official options

Can Paperless Post do this on its own?

Paperless Post has no API for Guest Tags or messages (checked 12 Oct 2026). Guest Tags are added by hand on the Tracking page after sending and come with the All-Access feature set or Paperless Pro; broadcasts can target a status and a tag. The Help Center describes no way to tag guests from an outside list or from their answers.

By hand

How you do it in Paperless Post today

  1. Open the Tracking page of the sent invitation and click the Tags button at the top of the guest list, or the dropdown next to one guest.
  2. Create a Guest Tag such as Lodging, then find each guest from your planner sheet in the list and add the tag, with the sheet open in another window.
  3. Filter the list by the tag with the Guest sort option to check the group is complete.
  4. Open Messages & Reminders, choose a template or Write your own, pick the statuses and the Guest Tag that should receive it, and write the subject and text.
  5. Repeat the whole round for every group, and again whenever a guest moves from one group to another or a new guest joins.

With an agent

How to tag Paperless Post guests and message each group

Prompt

Here are the out-of-town guests from my wedding planner sheet. Tag them "lodging" in Paperless Post, then send the ones who are attending the hotel room block link, and tell me who on the sheet is not on the guest list.
  1. 01

Match your list to the guest list

The agent reads the names you give it, from a sheet, a note or a hotel booking export, and finds each one with list_guests by name, email or phone. Names it cannot match, or that match two guests, are shown to you before anything is tagged.

  2. 02

    Tag the matched guests

tag_guests adds the tag to all matched guest IDs in one call. Guest Tags are visible only to you and your co-hosts, so tagging reaches no one, and the agent can correct a wrong tag on the next run.

  3. 03

Choose who in the tag gets the message

Before writing, the agent checks the statuses inside the tag. Hotel details usually go to Attending guests only, while a venue change goes to everyone who has not sent Regrets, and the agent asks you when the choice is not obvious.

  4. 04

Write a message that matches the invitation

For a time or venue change the agent reads get_event first, so the broadcast repeats the date and address guests see on the Card. The text stays under 2,000 characters and carries a link instead of a file.

  5. 05

Send the broadcast or a private note

send_message goes to the tag and statuses you approved. A guest who needs something different, such as a single room or an accessible shuttle, gets send_private_message instead, so the group broadcast stays general.

What you get back

Example data

Wedding of Sara and Ben, Sat 14 Nov
Planner sheet: 46 out-of-town guests
Tagged Lodging: 43. Not on the guest list: Carl Ito, June Park. Two matches: Alex Kim
Lodging and Attending: 31 guests, room block message sent
Lodging, still waiting: 9 guests, no message yet
Private note to Omar Haddad about the accessible shuttle: sent

Other ways to ask

  • The venue moved to The Boathouse, 12 Pier Road. Tell everyone except guests who sent Regrets, using the Time/location change template.
  • Tag the wedding party from this list as "wedding party" and send them the rehearsal dinner time on Friday at 6 pm.
  • Tag everyone who is attending with kids as "family table" and send them the kids menu link.
  • Show me the Guest Tags on the reunion invitation and how many attending guests are in each.

Before you automate it

What Paperless Post allows, and what to know first

  • Paperless Post Guest Tags belong to the All-Access feature set or a Paperless Pro subscription, and they show only to the host and co-hosts.
  • Paperless Post Guest Tags can be added only after the invitation is sent, from the Tracking page, and they are included when the guest list is exported.
  • A Paperless Post co-host starts with Track guests permission, which sees the list but cannot edit guests or send messages; the host has to grant those rights.
  • Paperless Post broadcasts are limited to 2,000 characters with no attachments, and links in them may not be clickable on every device.
  • Changing the date or venue in Paperless Post Event Details does not reset RSVPs already received; Paperless Post suggests a new invitation when a fresh round of replies is needed.

send_message and send_private_message ask for your OK by default. To run it on a schedule without you, switch confirmation off for those tools in your dashboard.

Frequently asked questions

Can the agent change the venue on the invitation itself?

No. Cotlet has no tool that edits the design or Event Details; you change them from the Tracking page with Edit. The agent then reads the new details with get_event and sends the Time/location change broadcast to the guests you choose.
