Clear Planning Center workflow cards with AI

A People workflow moves each newcomer from step to step, and every step is a card waiting in somebody's Ready list. When the list grows, the cards that are already done hide the ones that are not.

Cotlet does it in your own Planning Center account with list_workflow_cards, get_person, complete_workflow_step and snooze_workflow_card, called by your AI agent, an n8n workflow or a script.

Can Planning Center do this on its own?

The official MCP can read People data and create notes, but it has no tool to complete, snooze or reassign a card (checked 22 Oct 2026). Planning Center's Zapier integration has a New Workflow Card trigger that fires when a card arrives and no action to move it on. Bulk updates exist in the People interface only.

How you do it in Planning Center today

  1. A collaborator opens the workflow in People and uses the Ready filter at the top of the page to see the cards assigned to them.
  2. For each card they open it, do what the step asks and select Complete step, which moves the card forward to the next step.
  3. A card that is not due yet gets Select snooze... in its top right corner and a duration from the dropdown; the card disappears until the snooze ends, then its assignee gets an email.
  4. Several cards can be selected at once to complete or snooze them in bulk, but the choice of which cards are really done is still made by reading each one.
  5. Snoozed cards live under the Ready filter, in its Snoozed option, so they are easy to forget.

How to clear Planning Center workflow cards with AI

Prompt

Go through my ready cards in the New Visitor Follow-up workflow. Where the person already has a welcome note, complete the step with a short note. Snooze the others and list them for me.
  1. 01

    Read your ready cards

list_workflow_cards runs with the workflow name and the Ready view, the same list the Ready filter shows. Each card comes with its person, the current step and the assignee, so the agent only touches cards assigned to you.

  2. 02

    Check the evidence

For each card, get_person is read for the proof your rule names, here a General note from this week. A card with no evidence is never completed on a guess.

  3. 03

    Complete what is done

complete_workflow_step runs for the cards with evidence, with a short note for the card history. The next step can run an automatic action, so each call waits for your OK by default.

  4. 04

    Snooze the rest

snooze_workflow_card hides each remaining card for the duration you chose. It reaches nobody until the snooze ends and you can set another duration with one more call, so it does not wait for your OK.

What you get back

Example data

New Visitor Follow-up, ready cards: 7
Completed 4 (welcome note found), e.g. Hannah Cole: Add welcome note
Snoozed 3 for 1 day: Ben Ortiz, Maya Singh, Joel Park
Needs a person: Maya Singh asked for a call back

Other ways to ask

  • Every morning, snooze cards from people with no phone number on their profile and tell me who they are.
  • List my snoozed cards in the Prayer Requests workflow that wake up this week, and complete none.
  • Complete the Add to Newcomers list step for every card whose person joined a list last month.

What Planning Center allows, and what to know first

  • A snoozed card stays hidden from you until the chosen date and time, and its assignee gets an email when the snooze ends.
  • Complete step moves the card forward; Skip this step, Skip to later step and Send back one step are separate actions that this job does not use.
  • A step can run an automatic action when a card arrives and complete itself, with a backup assignee if the action fails.
  • Card history records reassignments, snoozes, skipped steps and the notes added at each step.

complete_workflow_step asks for your OK by default. To run it daily without you, switch confirmation off for that tool in your dashboard.
