Log technician time on Simpro jobs

Technicians report hours by text or at the end of the week, and the office types each block into the right job and cost centre.

Cotlet does it in your own Simpro account with get_job, get_schedule and add_schedule_entry, called by your AI agent, an n8n workflow or a script.

Can Simpro do this on its own?

The Timesheet module in Simpro Mobile lets a licensed technician create time blocks, and the REST API can create a schedule on a job cost centre with an employee, date, rate and start and stop time (checked 17 Oct 2026). Both need the exact job, cost centre and times. Neither reads "Sam did 8 to 11:30 on the Pier Rd job" and works out the rest.

How you do it in Simpro today

  1. In Simpro Mobile with the Timesheet module, the technician opens the Times page and sees the current day schedule.
  2. Scheduled quotes and jobs appear as grey time blocks with the cost centre name on each.
  3. The technician creates a new time block, or clocks on and off.
  4. Time that was worked and submitted shows as blue blocks.
  5. Technicians without the Timesheet module send hours to the office, who enter them by hand.

How to log technician time on Simpro jobs

Prompt

Add yesterday's time to Simpro: Sam worked 8:00 to 11:30 on job 20871, the plumbing cost centre. Check the job first, and show me the entry before you add it.
  1. 01

Find the job and cost centre

get_job returns the job with its sections and cost centres, so "plumbing" is matched to a cost centre that exists on that job. A name that matches nothing is reported, not guessed.

  2. 02

    Check the existing schedule

get_schedule reads that employee for that day. An overlap with another block is reported before anything is written.

  3. 03

    Show the entry

The agent shows employee, job, cost centre, date and times, and waits for your OK.

  4. 04

    Add the entry

add_schedule_entry creates the schedule block on the cost centre. If timesheets are locked for the date, Simpro refuses it and the agent reports that.

What you get back

Example data

Job 20871, cost centre Plumbing
Sam Ortiz, Fri 16 Oct, 08:00 to 11:30 (3.5 h)
No overlap on that day
Entry added: schedule 66120

Other ways to ask

  • Add this list of hours to the right jobs and show me anything you could not match.
  • Every Monday, read last week's time per job for my team and tell me which jobs have none.
  • Check Sam's schedule for Thursday and add nothing.

What Simpro allows, and what to know first

  • If timesheets are locked for the dates you choose, Simpro blocks creating or editing schedules for those dates and shows a warning (Simpro Help, Connect Jobs).
  • Scheduled jobs show as grey blocks with the cost centre name, and submitted worked time shows as blue blocks (Simpro Help, How to Manage Times Page).
  • A schedule is created on a job, section and cost centre, with an employee, date, rate and start and stop time (Simpro API forum).
  • Time blocks can be created for quotes, jobs and activities.

add_schedule_entry asks for your OK by default. To run it on a schedule without you, switch confirmation off for that tool in your dashboard.

Is it safe to connect Simpro to Cotlet?

Yes. You sign in to Simpro yourself, in your own Cloud Browser in the EU, and we never save your password. Your agents only get Simpro once you enable it, every background request is listed, and the browser profile is stored encrypted with AES-256-GCM, the cipher 1Password uses for its vaults. The AI model never sees a login, posts and messages wait for your OK, and Disable for agents cuts access in one click. Independent scanners grade cotlet.dev A+ on Qualys SSL Labs, securityheaders.com and Mozilla Observatory; live results are on https://cotlet.dev/security.
