Log a SuiteCRM call and create the follow-up task
The call ends, the next one starts, and the record in SuiteCRM gets its Held call and its follow-up task only when someone finds ten minutes in the evening.
Cotlet does it in your own SuiteCRM account with get_record, log_call, create_note and create_task, called by your AI agent, an n8n workflow or a script.
Hosted · nothing to install or maintain
Can SuiteCRM do this on its own?
SuiteCRM logs calls and tasks by hand in its screens, and the v8 API can create both for a developer who has an OAuth2 client (checked 23 Oct 2026). Nothing in SuiteCRM turns call notes into a Held call plus a task.
How you do it in SuiteCRM today
- Open the Opportunity, Contact or Lead and use the Activities tile to create a Call, or open Calls and use the module menu.
- Set Direction to Inbound or Outbound, Status to Held, then the Date & Time and the Duration in hours and minutes.
- Set Related To so the call shows in the History tile of the right record, and write the notes in the description.
- Create a Task from the module menu with Subject, Priority, Due Date and Related To, so it shows in Activities on the same record.
- Closed activities move to History; a follow-up that is never created is simply forgotten.
How to log a SuiteCRM call and create the follow-up task
I just spoke to Tom Becker about the Northwind Dental deal for 25 minutes. Log the call on the opportunity with these notes, and add a High priority task to send the revised quote by Wednesday. - 01
Find the record
get_record opens the opportunity you named and returns its ID, Account and related Contact, so the call is logged where the deal lives. If the name matches two records, the agent asks which one.
- 02
Log the call as Held
log_call writes Direction, Status Held, the start time and the duration you gave, with your notes in the description. It sends no invitations, so nobody outside your team is contacted.
- 03
Keep the longer notes
When your notes run past a short summary, create_note stores the full text as a Note related to the same record, and the call keeps only the summary.
- 04
Create the follow-up
create_task adds the task with the Subject, Priority and Due Date from your prompt, Related To the same opportunity. The agent turns "by Wednesday" into a date and states it in the reply.
- 05
Report both records
The reply lists the call and the task with their IDs, so you can open them in the Activities and History tiles.
What you get back
Logged call "Pricing questions with Tom Becker", Outbound, Held, 25 min, on Northwind Dental: onboarding
Note saved with the full notes
Task "Send revised quote to Northwind Dental", High, due Oct 28 Other ways to ask
- After each meeting on my calendar today, log a Held meeting on the related Account and ask me for one line of notes.
- Log an inbound call from the Lead Ana Lopez, Status Held, and create a task to call her back on Friday.
- Create a Planned call for next Tuesday at 10:00 on the Case I name, with no invitations.
What SuiteCRM allows, and what to know first
- SuiteCRM calls have Direction Inbound or Outbound, and Status Planned, Held or Not Held.
- A call's Related To decides which record's History sub-panel it appears in.
- A task's Status is Not Started, In Progress, Completed, Pending Input or Deferred, and its Priority High, Medium or Low.
- SuiteCRM sends call invitations only through Save & Send Invitations; saving a call alone emails no one.
- An open task shows in the Activities tile of its parent record and moves to History when it is closed.
log_call, create_note and create_task change only your own SuiteCRM data and reach no one else, so they run without asking first.
