Chase overdue Teamleader invoices with AI

Invoices go overdue on different days for different customers, so someone checks the list each morning, counts earlier reminders and sends the next one by hand.

Can Teamleader do this on its own?

Teamleader sends automatic reminders for overdue invoices on every package except GO and SMART (checked 20 Oct 2026). Settings > Revenue > Automatic reminders sets the days overdue, email or post, optional costs and one default template. Focus AI has a Payment chaser skill that drafts a follow-up per customer and lets you send each one from the chat. Both run inside Teamleader. Neither can be called from your own agent, script or schedule.

How you do it in Teamleader today

  1. The invoice overview can show a Last time sent column, which reads like "12 days ago (#2)" and tells you how often an invoice went out.
  2. On an overdue invoice the Send button turns into Reminder, and the number in brackets is how many reminders already went out.
  3. Clicking Reminder offers the same ways to send as a new invoice. For email you type a text or pick a template from Settings > Revenue > Email templates for invoices.
  4. The reminder is the original invoice with a Reminder stamp on top, and the stamp only appears once the payment term has passed.
  5. The check is repeated per invoice and per customer, so the long tail of small invoices is what gets skipped.

How to chase overdue Teamleader invoices with AI

Go through overdue Teamleader invoices. For each one that is more than 7 days overdue and has had fewer than 2 reminders, send the next reminder with the matching template. List the rest for me with the days overdue.

    List what is overdue

    list_invoices runs with status outstanding and works out which due_on dates have passed. It follows the pages to the end, so a long list is judged as one batch.

  2. 02

    Count earlier reminders

    get_invoice returns reminders_sent and the date of the last send. An invoice with the number of reminders you named as the limit is not mailed again. It goes on your list with the days overdue.

  3. 03

    Pick the template

    The agent matches reminders_sent to your template names, for example none yet to "First reminder" and one to "Second reminder". A name your account does not have is reported, not guessed.

  4. 04

    Check the send route

    An invoice that went out through Peppol cannot be reminded through Peppol, so the reminder goes by email with the original invoice attached. The agent says so in its report.

  5. 05

    Send and leave a note

    send_invoice_reminder mails the customer and waits for your OK per call until you switch confirmation off. add_note then records on the customer which reminder went out and when, so the next run and your colleagues see it.

Other ways to ask

  • Every Monday, list invoices overdue by more than 30 days with the customer and the amount due, and send nothing.
  • Send the first reminder the day after the due date, but only for invoices under 500 EUR.
  • For customers with 3 or more reminders, create a task for me to call them instead of mailing again.
  • Show me overdue invoices grouped by customer, largest total first.

What Teamleader allows, and what to know first

  • Teamleader shows the Reminder button only when the payment term has passed. Before that the button reads Send.
  • The Reminder stamp is applied only when the term is exceeded. An invoice with a 14 day term that is resent after 15 days gets it.
  • An invoice with a 0 day payment term has a grace period of 12 hours before the stamp appears, so a mistake can be fixed without it.
  • A reminder cannot be sent through Peppol. Send an email that repeats the original invoice, with the PDF attached if you like.
  • Extra attachments on an invoice reminder are limited to 10 MB per file and 20 MB in total per email.

send_invoice_reminder asks for your OK by default. To run it daily without you, switch confirmation off for that tool in your dashboard.
