Get a weekly Zola RSVP and meal count report

The caterer wants final meal counts by a fixed date, and Zola's Track RSVPs page shows one event at a time. Every week you click through the ceremony, the reception and the welcome drinks, filter for guests who have not replied, and copy the meal totals into a message.

Cotlet does it in your own Zola account with list_events, track_rsvps and list_guests, called by your AI agent, an n8n workflow or a script.

Official options

Can Zola do this on its own?

Zola has no API for RSVPs (checked 12 Oct 2026). Zola sends you an email and a push notification for each online RSVP, shows meal totals per event at the top of Track RSVPs, and offers "Export RSVPs" as a desktop download. We found no scheduled digest in Zola's help center that covers every event, names who is still missing, and compares the counts with the week before.

By hand

How you do it in Zola today

  1. Open Guest List in Zola on a computer and go to the Track RSVPs tab.
  2. Click one event, such as the reception, and read the totals at the top of the Track RSVPs tab: adults and children attending and the meal preferences of guests who have submitted an RSVP.
  3. Note which guests on that event have not replied yet, then repeat the same clicks for every other event on your schedule.
  4. Click "Export RSVPs" in the upper right corner for a .csv or Excel file to send the caterer; Zola offers that export from a desktop browser only, not from the app.
  5. Compare with last week's numbers by hand. The Track RSVPs totals are a snapshot, so a guest who switched from attending to declined, or a guest who cannot RSVP online at all, is easy to miss.

With an agent

How to get a weekly Zola RSVP and meal count report

Prompt

Every Monday, tell me who still has not RSVP'd to each event on Zola, the meal counts for the reception so far, and what changed since last week.
  1. 01

Cover every event that takes RSVPs

The agent reads list_events and then calls track_rsvps once per event, not only for the reception. A welcome drinks event without meal options still gets a head count, so the report matches what each vendor needs.

  2. 02

Separate silence from guests who cannot answer

list_guests shows guests on the Maybe list and Definitely Invited guests with no event at all. Zola does not let either group RSVP online, so the agent lists them under "fix in Zola" instead of counting them as late replies.

  3. 03

Count meals from attending guests only

Meal totals come from guests marked attending. An attending guest with no meal choice is listed by name, which usually means they replied before you added the meal question or that you recorded a phone reply without one.

  4. 04

    Say what changed

When last week's report is available in the chat or in the n8n run history, the agent lists new replies and any guest whose answer flipped, so a decline after an acceptance does not hide inside an unchanged total.

  5. 05

Report and leave the guests alone

The run sends nothing to guests. It ends with the names to chase per event, ready for you to select in Zola's Bulk Actions or to call yourself.

What you get back

Example data

Week to Sun 11 Oct 2026, wedding on 12 Jun 2027.
Reception: 84 attending, 9 declined, 27 no reply. Meals: Chicken 41, Salmon 30, Vegetarian 11, missing 2 (Jon Rivera, Elle Park).
Ceremony: 88 attending, 9 declined, 23 no reply.
Welcome drinks: 52 attending, 4 declined, 31 no reply. No meal question on this event.
Since last week: 14 new replies. Dana Cole changed from attending to declined on all events.
Cannot RSVP online: Priya and Sam Shah are Definitely Invited but invited to no event; 3 guests still on the Maybe list.
Still silent on the reception: the Morales family (4), Uncle Pete, Grace Liu and 21 more.

Other ways to ask

  • Every Monday at 9:00, post the Zola RSVP summary to our wedding Slack channel.
  • Only the reception: give me the meal counts the caterer needs and the guests who have not answered.
  • Two weeks before the RSVP deadline, list everyone who has not replied to any event, with their phone number.
  • Which guests can't RSVP on our Zola website right now, and why?

Before you automate it

What Zola allows, and what to know first

  • Zola lets a guest RSVP online only when the guest is on your guest list and marked "Definitely Invited" to at least one event; guests on the Maybe list cannot RSVP on the wedding website.
  • Zola's meal totals at the top of each event on Track RSVPs count only guests who have submitted an RSVP.
  • Zola shows edited meal options and RSVP questions to anyone who replies after the edit, so guests who answered earlier never saw the new options.
  • The RSVP reminder in the Zola iOS app is a text whose wording cannot be customized, and the desktop Bulk Actions > Send Message email is plain text that reaches only guests with a saved email address.
  • A guest who types a name that does not match the Zola guest list too many times is locked out of the RSVP page for a while, which looks like silence in any report.

Every tool here only reads, so it can run weekly from n8n, Make, Zapier or cron without waiting for your OK.

Frequently asked questions

Can the agent send RSVP reminders to guests who have not replied?

No. Cotlet has no messaging tool for Zola. The report gives you the names, and Zola's own Bulk Actions > Send Message on the Guest List sends a plain text email to the guests you select, if their email address is saved.
