Crexi automation · runs weekly

Send a weekly Crexi listing activity report to your seller

Sellers expect a Monday update on how their property is being marketed. You open each listing's property dashboard, copy the Activity Overview numbers, count the new leads and write the same email for every client.

Cotlet does it in your own Crexi account with list_my_listings, get_listing_analytics and list_leads, called by your AI agent, an n8n workflow or a script.

Can Crexi do this on its own?

Crexi has no API for listing analytics (checked 12 Oct 2026). The numbers live in each listing's property dashboard. We found no help-center article on a scheduled report that goes to the seller with a week-over-week comparison, so the weekly update is still assembled by hand.

By hand

How you do it in Crexi today

  1. Open the menu at the top left of Crexi, go to My Listings and select the listing to open its property dashboard.
  2. Read the Activity Overview: impressions, page views, visitors and document opens.
  3. Scroll to Activity History to see who acted on the listing; Crexi Pro members see the contact, time and type of each action, and clicking a name opens the lead drawer.
  4. Check Marketing Events and your own campaigns on the same dashboard (Pro), with campaign emails sent, opens and clicks, then go back to My Listings and repeat for the next property.
  5. Copy the numbers into last week's email, do the subtraction by hand and send it. With eight listings this is the Monday morning, and a stalled listing hides among the busy ones.

How to send a weekly Crexi listing activity report to your seller

Prompt

Write the weekly activity report for the seller of Oak Plaza Retail Center: impressions, page views, document opens and new leads by role, compared with last week.
  1. 01

    Take the active listings only

list_my_listings is filtered to Active, so withdrawn and closed properties drop out of the run. A listing marked Under Contract is reported once more, with a closing line, and then left out.

  2. 02

    Keep last week's snapshot

The dashboard shows running totals, so the agent stores each Monday's figures from get_listing_analytics and reports the difference. On the first run there is no baseline, and the report says so instead of guessing a weekly number.

  3. 03

Count leads the seller cares about

list_leads for the listing since the last report is grouped by industry role. Investors and owner-users are counted separately from brokers, and names stay out of the seller version unless you ask.

  4. 04

    Flag a listing that stalls

Impressions that grow while page views stay flat point to a weak photo or headline; page views with no document opens point to an OM behind a confidentiality agreement nobody signs. The agent writes these as notes to you, not to the seller.

  5. 05

    Draft, you send

Each listing gets a short email draft in your voice. Nothing goes to the seller from Crexi; you paste it or let your mail tool send it.

What you get back

Example data

Week 5 to 11 Oct 2026, Oak Plaza Retail Center:
Impressions 4,120 (+610), page views 318 (+42), visitors 96 (+11), document opens 41 (+9).
New leads: 5 investors, 2 brokers, 1 owner-user.
Campaign 2 Oct: 250 sent, 112 opens, 37 clicks.
120 Main St Suite 200: 0 document opens for the second week; check the flyer link.
Drafts ready for 2 sellers.

Other ways to ask

  • Every Monday at 8 am, draft the seller updates for all my active Crexi sale listings.
  • Compare page views and document opens across my Dallas listings for the last four weeks and rank them.
  • Which of my lease listings had no new leads in 14 days?

Before you automate it

What Crexi allows, and what to know first

  • Crexi counts page views as unique visits from any user and visitors as logged-in users only, so a seller report should not add the two together.
  • Crexi document opens count views of files such as flyers and offering memorandums, which makes them the closest number to buyer intent on the dashboard.
  • Crexi shows the contact, time and type of each Activity History action only to Pro members; other accounts see less of who engaged.
  • Crexi lets a listing broker put an OM or due diligence material behind a confidentiality agreement, with four principal settings from No Principal Info to Principal Confirmation Required, where the principal must confirm by email.
  • A Crexi email campaign can feature up to 12 properties, and its activity is recorded in each listing's property dashboard.

Every tool here only reads, so it can run weekly from n8n, Make, Zapier or cron without waiting for your OK.
