Property Finder automation · runs weekly
Weekly Property Finder listing performance report
On Monday the sales manager wants one answer: which live listings are being seen and still not producing enquiries. PF Expert has performance dashboards, but building that list per agent across the whole inventory is a morning of tabs and a spreadsheet.
Cotlet does it in your own Property Finder account with list_listings and get_listing_stats, called by your AI agent, an n8n workflow or a script.

Can Property Finder do this on its own?
PF Expert has performance dashboards and the Credit Optimizer, which suggests which live listings to upgrade based on predicted lead uplift (checked 12 Oct 2026). Neither sends a weekly views-without-leads list per agent, and the report data reaches code only through approved PFDN partner software, not through a key you hold.
By hand
How you do it in Property Finder today
- Sign in to PF Expert as a Decision Maker or Admin, the roles that see analytics and reports for the whole agency.
- Open the PF Expert performance dashboards and read views and leads for the period, listing by listing.
- Copy the numbers into a spreadsheet, add the agent and the active upgrade by hand, and sort by views with zero leads.
- Note which listings carry a Premium or Featured upgrade and when it ends, since Property Finder sells those upgrades for 15 or 30 days.
- The pain is the repetition: the same listings every week, and a listing with many views and no enquiry is easy to miss when it sits deep in the sheet.
With an agent
How to weekly Property Finder listing performance report
Prompt
Every Monday, list my live rentals with the most views and no leads since last Monday, grouped by agent, and tell me which upgrades expire this week. - 01
Start from what is live and comparable
The agent pulls live listings with list_listings and drops drafts and anything published in the last seven days, because a listing that went live on Friday cannot be judged against one that has run all month.
- 02
Read numbers for the same window
For each remaining listing it asks get_listing_stats with the same start date, last Monday by default, so every row covers the same week. It reads once per listing and never re-reads a listing it already has for this run.
- 03
Flag the listings that need a human
A listing goes on the list when it sits in the top quarter of the agency by views and has no lead. It also flags listings with an active Featured or Premium upgrade and no lead, because those are credits already spent without return.
- 04
Group by agent and add context
Rows are grouped by the agent assigned in PF Expert, with price, quality score and upgrade next to the numbers, so the manager can see at a glance whether the problem is price, photos or exposure.
- 05
Leave spending to you
The report suggests, it does not act. If you then ask for an upgrade or a price change, that is a separate request and each write waits for your OK.
What you get back
Example data
Week 6 to 12 Oct, 58 live listings read, 9 flagged
Sara Khan: Marina 2BR, 1,840 views, 0 leads, Featured until 15 Oct, quality 88
Sara Khan: JLT studio, 1,120 views, 0 leads, no upgrade, quality 71
Omar Haddad: Business Bay 1BR, 960 views, 0 leads, Premium until 20 Oct, quality 93
Skipped 4 listings published after 5 Oct
Upgrades ending this week: 3 (Marina 2BR, Al Barsha villa, Reem 1BR) Other ways to ask
- Same report for sale listings only, over the last 30 days instead of 7.
- Only Omar Haddad's listings, and email the list to him on Monday at 9:00.
- Which of my Featured listings got fewer leads than my best standard listing this month?
- Rank my live listings by leads per 1,000 views and give me the bottom ten before I decide on upgrades.
Before you automate it
What Property Finder allows, and what to know first
- Property Finder sells Premium and Featured upgrades for 15 or 30 days, and Spotlight as a 7-day auction for a top three position on page 1, so a weekly report lines up with the shortest upgrade cycles.
- PF Expert gives analytics and reports to the Decision Maker and Admin roles; the Agent role tracks only personal performance, so an agent-level login sees only its own listings in this report.
- Credit Optimizer in PF Expert is available only to users with permission to upgrade listings, and it asks what share of the budget to optimise before it suggests anything.
- PF Expert sends credit-aware upgrade suggestions before upgrade expiry dates, which tell you what to renew but not which listings are failing to convert.
Every tool here only reads, so it can run weekly from n8n, Make, Zapier or cron without waiting for your OK.

Frequently asked questions
Can it tell me which listings to upgrade instead of Credit Optimizer?
It can rank listings by your own rule, for example views without leads, and you can compare that with Credit Optimizer, which ranks by predicted lead uplift. Upgrades still spend credits and wait for your OK.
