PushPress automation · runs weekly
Review PushPress no-shows and late cancels every week
Your policy says a no-show costs a fee, but applying it means opening Reports every week, reading each row and checking whether the member really missed class or was checked in late by a coach.
Cotlet does it in your own PushPress account with list_no_shows_late_cancels and get_member, called by your AI agent, an n8n workflow or a script.

Official options
Can PushPress do this on its own?
PushPress shows no-shows and late cancels in a Core report and as statuses on the Schedule > Check-Ins page, and the help center says charging for them always takes a manual admin action (help center checked 12 Oct 2026). The Platform API and Zapier expose nothing from this report (checked 11 Oct 2026).
By hand
How you do it in PushPress today
- Open Reports in the left-hand menu of Core and pick the No Show / Late Cancel Report.
- Cross-check doubtful rows: on the member profile, hover the cancellation in the activity feed on the right to see its timestamp.
- To charge a fee, click the three dots next to the member, choose Create Charge, click + on the invoice, pick the No Show / Late Cancel product, choose Late Cancel or No Show and click ADD INVOICE ITEM.
- Close the invoice with make payment, or leave it open for the auto-close setting.
- The pain: the report lags behind late check-ins by up to two days, so reviewing too early bills members who did come, and reviewing too late means nobody remembers the class.
With an agent
How to review PushPress no-shows and late cancels every week
Prompt
Every Tuesday, go through last week's no-shows and late cancels. Fee from the second no-show, a warning for the first late cancel. Do not charge anyone. - 01
Wait out the lag
The agent reads a closed week that ended at least two days earlier with list_no_shows_late_cancels, Monday to Sunday by default. A Tuesday run covers the week before; anything from the last 48 hours waits for next time.
- 02
Group by member, not by row
Three no-shows by one person mean something different from three people missing once. The agent counts per member and puts repeat cases at the top.
- 03
Check each plan
For every member it calls get_member to see the plan, its status and the next bill date. A member on a Paused or Cancelled plan, or with a check-in on that class in recent activity, goes to a check-first list instead of the fee list.
- 04
Apply your policy, charge nothing
With a rule from you ("fee from the second no-show", "first late cancel is a warning"), the agent tags each member as fee, warning or ignore. Creating the charge stays with you in Core.
What you get back
Example data
No Show / Late Cancel, 5 to 11 Oct 2026 (read Tue 13 Oct): 8 rows, 6 members.
Fee (2+ no-shows): Sam Ortiz, 3 no-shows (Mon, Wed, Fri 7:00), 3x Week, bills 1 Nov.
Warning: Alex Kim, 1 late cancel (Wed 9:00), Unlimited, bills 15 Oct.
Check first: Priya Nair, no-show Thu 18:00, but her activity shows a check-in that day.
Check first: Lee Park, no-show Fri 7:00, but his plan is Paused since 1 Oct.
No action: 2 members with a single no-show. Other ways to ask
- Every Tuesday, list last week's late cancels only, for members on punch cards.
- Who has three or more no-shows this month? I want to talk to them, not charge them.
- Show me late cancels for the 6:00 classes over the last four weeks.
Before you automate it
What PushPress allows, and what to know first
- PushPress refreshes the No Show / Late Cancel report within 24 to 48 hours when a check-in is added after class or a registration is deleted, so recent rows can still change.
- PushPress help recommends processing late cancels and no-shows weekly, so nobody is charged for a check-in the report has not caught up with.
- PushPress never charges a no-show or late cancel fee by itself; the fee is a product you create and add to an invoice with Create Charge.
- On the Core Check-Ins page, No Show means the class ended without a check-in, and Late Cancel means the member cancelled after the Late Cancel Window set in each class's settings.
- A fee invoice left open in PushPress closes according to the gym setting for auto-closing open invoices.
Every tool here only reads, so it can run weekly from n8n, Make, Zapier or cron without waiting for your OK.
