TrueCoach automation · runs weekly
Check in with TrueCoach clients who missed workouts
On Friday the Needs Attention panel has four names and you know at least two more clients went quiet. Each of them needs a message that names what they missed, and that personal note is the job that slides when the week is full.
Cotlet does it in your own TrueCoach account with get_dashboard, list_clients, list_workouts, list_messages and send_message, called by your AI agent, an n8n workflow or a script.

Can TrueCoach do this on its own?
TrueCoach has no API to read missed workouts or send messages (checked 12 Oct 2026), and its Zapier app has a "Workout Completed" trigger but nothing for a missed one and no messaging action. TrueCoach itself emails the client when a workout is missed. That email is automatic and the same for everyone; it does not come from you or mention what the client told you last week.
By hand
How you do it in TrueCoach today
- Open the TrueCoach Dashboard and read the Needs Attention list in the right panel; use the drop-down under today's date to see one group's results and compliance.
- Go to the Clients tab and sort by Compliance Rate to find low 7 day rates that Needs Attention did not flag.
- Click each client's name and scan the workout calendar for the sessions marked missed this week, then check the conversation for a message that already explains it.
- Click the ⋯ icon next to the client's name on the Dashboard to open the messenger and write the check-in, one client at a time.
- The list changes every week and the messages need to be personal. A group message or broadcast sends the same text to everyone, so the work stays manual and the quiet clients get missed.
With an agent
How to check in with TrueCoach clients who missed workouts
Prompt
Find clients who missed two or more workouts this week or show up under Needs Attention, and draft a short personal check-in for each. Skip anyone who already told me why. - 01
Build the list from two signals
get_dashboard gives the clients TrueCoach flagged for a sudden drop. The agent adds clients with two or more missed sessions this week, found with list_workouts per client for Monday to today.
- 02
Leave out the wrong people
Archived clients are not checked. In-Person clients are flagged to you rather than messaged, because only you log their results and a "missed" session may just be unlogged.
- 03
Read the conversation first
list_messages shows the last few messages. A client who wrote "travelling this week" or "sick" is left out and listed with their reason, so nobody gets nudged after already explaining.
- 04
Write each message from facts
Each draft names the sessions missed (Tuesday's Lower body B, Thursday's conditioning) and asks one question. Clients with a strong 30 day rate get a lighter tone than clients slipping for weeks.
- 05
Send after your OK
send_message goes out under your name, one message per client so replies come back to you privately. You approve the drafts as a batch or edit any of them first.
What you get back
Example data
Week of 5 to 11 Oct 2026: 6 clients checked, 3 drafts ready.
Sam Rivera: missed Lower body B (Tue) and Intervals (Thu). 7 day rate 50%, 30 day 82%.
Jordan Lee: on Needs Attention, 7 day rate dropped from 90% to 60%.
Nia Brooks: missed 3 sessions; last message from her 21 days ago.
Skipped: Priya Shah wrote "travelling until Sunday" on 9 Oct.
Flagged, not messaged: Tom Becker is In-Person, 2 sessions with no results logged. Other ways to ask
- Only the Bootcamp group: who missed a workout since Monday? List them, do not message anyone.
- Every Sunday at 6 pm, draft check-ins for clients under Needs Attention and wait for my OK.
- Which clients have a 90 day compliance rate under 60%? Show their 7 and 30 day rates next to it.
Before you automate it
What TrueCoach allows, and what to know first
- TrueCoach compliance is exercises completed against exercises assigned, as a 7, 30 and 90 day rate, and a drop of 20% in any of the three puts the client under Needs Attention.
- TrueCoach clients cannot see their own compliance rates, so how you bring them up in a message is your call.
- A TrueCoach client who is not logged in receives the message text by email.
- On a TrueCoach Team Account, coaches can send direct messages only to clients assigned to them, even with admin privileges on.
- TrueCoach sends the client an automatic email when a workout is missed, so a coach check-in lands as a second contact about the same session.
send_message asks for your OK by default. To run it weekly without you, switch confirmation off for that tool in your dashboard.
