TrueCoach automation
Onboard new TrueCoach clients from a list
January sign-ups land in a form or a spreadsheet. Each one needs a TrueCoach client record, the right client type, a group and the onboarding program before you can write their first real week.
Cotlet does it in your own TrueCoach account with list_clients, create_client, add_client_to_group and assign_program, called by your AI agent, an n8n workflow or a script.

Can TrueCoach do this on its own?
TrueCoach's Zapier app has one action, "Add a Client to TrueCoach" (Pro or higher per the help center, checked 12 Oct 2026), and a Gmail template can send a welcome email on the "New Client" trigger. Neither puts the client in a group or assigns a program. TrueCoach support also runs a one-time CSV import with group and program columns, sent by email, which suits a migration rather than the sign-ups that arrive every week.
By hand
How you do it in TrueCoach today
- Click Add Client in the top right of the TrueCoach dashboard or client list and choose Remote, Dual or In-Person.
- Enter first name, last name and, for Remote and Dual clients, the email; the More link holds birthday, timezone, units, height and weight if you want to fill them in for the client.
- Click Add Client, then Add Group next to the client's compliance rates, or tick several clients and use the Manage Groups icon in the footer (shortcut G).
- Open the Programs tab and assign your onboarding program, such as the welcome, questionnaire, assessment and check-in sequence TrueCoach suggests building.
- Every sign-up repeats four screens. An email already used with another coach fails at the end, and a client added without the program has an empty calendar on their first login.
With an agent
How to onboard new TrueCoach clients from a list
Prompt
Add the five new sign-ups from leads.csv as Remote clients, put them in the January group and start them on my Onboarding Sequence program tomorrow. - 01
Check for existing clients
Each email is looked up with list_clients, active and archived. An archived match is reported for you to unarchive in TrueCoach rather than added again, and an active match is skipped.
- 02
Settle the client type
Rows without an email can only become In-Person clients. The agent asks before adding them that way, because In-Person clients get no TrueCoach login at all.
- 03
Create with your OK
create_client adds the rows you approve, and Remote and Dual clients get the invitation straight away. When TrueCoach rejects an email that belongs to another coach's client, the agent lists it with the options TrueCoach offers instead of retrying.
- 04
Group, then program
Each new client goes into the group you named with add_client_to_group. If that group does not exist yet, the agent stops and asks you to create it under Manage Groups. Then assign_program starts the onboarding program on day 1 from the date you gave.
What you get back
Example data
leads.csv: 5 rows.
Added as Remote, invitation sent: Maya Okafor, Leo Brandt, Ana Ruiz.
Group January and Onboarding Sequence from 13 Oct 2026, day 1: all 3.
Skipped: chris.p@example.com is already your active client.
Not added: dana.m@example.com has a TrueCoach client account with another coach. Ask that coach to transfer or delete it, or use another email. Other ways to ask
- Every morning, add yesterday's paid sign-ups from my form sheet as Remote clients in the New Clients group, with my OK on each.
- Add these three gym members as In-Person clients without email and put them in the Tuesday Small Group.
- Onboard Jordan Lee as a Dual client and start him on Bootcamp Base at day 8 with the rest of the group.
Before you automate it
What TrueCoach allows, and what to know first
- TrueCoach allows one client account per email address; the help center lists transfer by the old coach, deletion, another email or a request to support as the ways around it.
- A missing TrueCoach invitation can be resent from the Client Dashboard with Resend Invitation, or the invite link can be copied and sent directly.
- TrueCoach plans cap active clients (5 on Starter, 20 on Standard, 50 on Pro per the pricing page), and archived clients do not count toward the limit.
- TrueCoach's CSV import requires a program for every client and suggests a program with a rest day on Day 1 for clients who should not start training yet.
create_client asks for your OK by default. To run it on a schedule without you, switch confirmation off for that tool in your dashboard.
