Block GetYourGuide tour slots for a date when a guide is out

Your guide texts at 7 a.m. that they cannot work on Saturday. Before anyone else books, every slot of their tours that day has to be closed in the Supplier Portal, and you need to know who already holds a ticket.

Cotlet does it in your own GetYourGuide account with list_products, get_availability, update_availability, list_bookings and get_booking, called by your AI agent, an n8n workflow or a script.

Official options

Can GetYourGuide do this on its own?

GetYourGuide has a block toggle and a bulk edit for up to 50 slots on Manage > Availability, so closing one option by hand is quick (checked 12 Oct 2026). The slow part is the rest of the morning: finding every option that guide runs, then switching to Bookings to see who is still booked, since a block leaves existing bookings in place. The Supplier API changes availability only for connected reservation systems.

By hand

How you do it in GetYourGuide today

  1. Open Manage > Availability in the Supplier Portal top menu.
  2. Filter by product, option and date in the left-hand panel to find the tours the guide was meant to run.
  3. Flip the toggle on each slot to block it, or tick several slots and use Update selected; the bulk edit takes 50 time slots at a time.
  4. Switch to Bookings, filter by Activity Date and product, and note who is booked, because a blocked slot keeps its existing bookings.
  5. Repeat for every option the guide covers. A different group size, meeting point or duration is its own option with its own slots, and one is easy to miss on a stressful morning.

With an agent

How to block GetYourGuide tour slots for a date when a guide is out

Prompt

Our guide Marco is sick on 18 October. Block every free slot of the sunset harbor tour that day and tell me who is already booked.
  1. 01

Find every option on that date

The agent calls list_products and matches the tours you named to their options, since a different group size, meeting point or language with its own times is a separate option. When a name matches more than one option, it lists them and asks which ones the guide runs.

  2. 02

Check what is booked before changing anything

For each matched option, get_availability for that one day shows every start time with booked and free spots. The agent splits the slots into empty ones and ones that already have travelers.

  3. 03

    Block the slots

update_availability sets every matched start time to 0, one option per call. A slot already at 0 is skipped and reported as already blocked. Other dates stay as they are, even when the same guide runs them.

  4. 04

    List the travelers still booked

list_bookings for that date and product, then get_booking per reference, give the lead traveler and party size on each blocked slot. You get them grouped by start time, ready for a replacement guide or for the cancellation flow in Bookings.

  5. 05

    Stop before cancelling

The agent does not cancel bookings or write to travelers here. GetYourGuide cancellations go through Request cancellation, which emails each traveler and offers a new date or a refund, so the agent hands you the list and waits for your call.

What you get back

Example data

Blocked 3 slots on Sat 18 Oct 2026:
Sunset Harbor Walking Tour, English small group: 17:30 and 18:30 blocked
Sunset Harbor Walking Tour, Spanish small group: 18:00 blocked
Old Town Food Walk, 11:00: already blocked, skipped
Still booked on blocked slots (run or cancel in Bookings):
17:30 GYGZ4K2M9T1X Sam Rivera, 2 adults 1 child
18:00 GYGH2P8W6K4L Lucia Gomez, 4 adults

Other ways to ask

  • Block every slot of all my tours from 24 to 26 December.
  • The boat is in repair next week: block the 09:00 and 11:00 departures Monday to Friday and keep the afternoon ones open.
  • Our guide is back, reopen the sunset tour on 18 October with 12 spots per slot.
  • Cut the 10:00 tour to 6 spots tomorrow, we only have one van.

Before you automate it

What GetYourGuide allows, and what to know first

  • GetYourGuide shows the guide assigned to a booking (name, photo and, from 1 hour before the start, phone number) on the traveler's meeting point screen, so a replacement guide has to be selected under Guide on each booking that still runs.
  • GetYourGuide keeps existing bookings on a blocked slot, and the supplier still has to run those tours or cancel them.
  • GetYourGuide bulk cancellation in Bookings cancels at most 100 bookings per run, and most affected travelers get an email offering to reschedule or cancel.
  • When a single GetYourGuide booking is cancelled and the traveler picks neither a new date nor a refund within 2 days, the booking is cancelled and refunded in full automatically.
  • For an option connected to a reservation system, GetYourGuide expects you to block a date by setting it to 0 in that system, and manual blocks made before the connection stay active.

update_availability changes only your own GetYourGuide data and reach no one else, so it runs without asking first.
